Admin & HR Executive

Responsibilities

  • Provide day-to-day office administration support to ensure smooth operations, operational efficiency, and cost-effectiveness across the workplace
  • Oversee office facilities, maintenance services, office equipment, and vendor relationships to maintain a well-functioning work environment
  • Support ad-hoc projects. Examples include, but are not limited to, office relocation, renovation, fit-out projects, logistics planning, coordination with internal stakeholders, and liaison with external contractors, suppliers, and service providers
  • Handle the maintenance of office equipment and services (e.g. broadband, telecommunications services, office printers, company mobile phones, and water dispensers)
  • Assist in the renewal of office lease agreements, group insurance policies, and other admins service contracts
  • Handle employee enquiries related to office operations and workplace services, ensuring timely and professional support
  • Monitor office supplies and inventory levels, ensuring adequate stock replenishment on a weekly, monthly, and quarterly basis.
  • Maintain a safe, clean, and organized office environment and ensuring workplace hygiene standards
  • Support company events, meetings and employee engagement activities (e.g. tradeshow, leadership meeting, team building activities)
  • Ensure HR and Administration vendors are settled timely.
  • Maintain accurate and up-to-date HR and administrative records, contracts, licenses, service agreements, and related documentation
  • Provide support for HR operations as needed.

 

Education

  • Diploma or above in Human Resources, Business Administration or related discipline
  • 1–3 years of relevant HR and/or administration experience.

 

Knowledge, Skills, Abilities and Behaviors

  • Detail-oriented with a high level of accuracy and responsibility
  • Independent, flexible and willing to work under pressure
  • Demonstrate proactive problem-solving & negotiation skills
  • A team player with positive attitude, proactive and willing to learn
  • Good interpersonal and communication skills
  • Good command of English, Cantonese and Mandarin.
  • Familiar with MS Office – Word, Excel, PowerPoint
