Responsibilities:
- Provide day-to-day office administration support to ensure smooth operations, operational efficiency, and cost-effectiveness across the workplace
- Oversee office facilities, maintenance services, office equipment, and vendor relationships to maintain a well-functioning work environment
- Support ad-hoc projects. Examples include, but are not limited to, office relocation, renovation, fit-out projects, logistics planning, coordination with internal stakeholders, and liaison with external contractors, suppliers, and service providers
- Handle the maintenance of office equipment and services (e.g. broadband, telecommunications services, office printers, company mobile phones, and water dispensers)
- Assist in the renewal of office lease agreements, group insurance policies, and other admins service contracts
- Handle employee enquiries related to office operations and workplace services, ensuring timely and professional support
- Monitor office supplies and inventory levels, ensuring adequate stock replenishment on a weekly, monthly, and quarterly basis.
- Maintain a safe, clean, and organized office environment and ensuring workplace hygiene standards
- Support company events, meetings and employee engagement activities (e.g. tradeshow, leadership meeting, team building activities)
- Ensure HR and Administration vendors are settled timely.
- Maintain accurate and up-to-date HR and administrative records, contracts, licenses, service agreements, and related documentation
- Provide support for HR operations as needed.
Requirements:
- Diploma or above in Human Resources, Business Administration or related discipline
- 1–3 years of relevant HR and/or administration experience.
- Detail-oriented with a high level of accuracy and responsibility
- Independent, flexible and willing to work under pressure
- Demonstrate proactive problem-solving & negotiation skills
- A team player with positive attitude, proactive and willing to learn
- Good interpersonal and communication skills
- Good command of English, Cantonese and Mandarin.
- Familiar with MS Office – Word, Excel, PowerPoint
